    How to Order SpliceCom Virtual Machines Via Salesforce

    Learn the step-by-step process of ordering SpliceCom virtual machines through Salesforce for seamless integration and efficiency.

    Manual Order (Built In) Creation Process

    Document Purpose

    This document provides step-by-step instructions for the manual creation of “Orders (Built In)” within Salesforce Lightning. This process replaces the previous Shopify-based Splicecom ordering workflow. The change follows the acquisition of Splicecom and ensures all Splicecom-related orders are now managed directly within Salesforce.


    Scope

    This procedure applies to all Agents responsible for creating Splicecom-related orders within Salesforce. It covers the full process from initiating a new order through to saving it in “Draft” and finalizing it as “New”.


    Audience

    This document is intended for Sales Agents and Sales Operations staff who have been authorised and trained to create and manage Orders (Built In) records within Salesforce Lightning.


    Pre-Requisites

    Before executing this process, ensure the following conditions are met:

    Access & Permissions

    The Agent must have:

    Authorisation from their Line Manager to create Orders (Built In).

    The correct Salesforce permission set(s) assigned to their user profile.

    Access must be verified by the Salesforce Administrator.

    Training

    The Agent must have completed the internal training module titled “Salesforce Orders (Built In) Process Training” or equivalent.

    System Access

    The Agent must be logged into Salesforce Lightning Experience.


    When to Execute This Process

    Use this process whenever a Splicecom order needs to be created manually within Salesforce, replacing the legacy Shopify process.


    Step-by-Step Process

    1. Accessing Orders (Built In)

    Log in to Salesforce Lightning.

    From any page, click the App Launcher (grid icon) in the upper-left corner.

    In the search bar, type “Orders (Built In)”.

    Select Orders (Built In) from the results.
    → This opens the Orders (Built In) list view page showing recently viewed orders.


    2. Creating a New Order

    1. Click the “New Order” button at the top right of the list view.
    2. Complete the order details as follows:

    Account Name

    Search for and select Splicecom Ltd (View Account)

    Order Start Date

    Enter today’s date

    Status

    Set to Draft (Note: While in Draft, line items can be added or modified. Once status is changed from Draft, product details become locked.)

    Bill To Contact / Ship To Contact

    Search and select existing contacts where available. If unavailable, complete Billing Address and Shipping Address fields manually.

    Opportunity / Quote (Optional)

    If the order is related to an existing Salesforce Opportunity or Quote, search for and link it.

    PO Number (Optional)

    Enter if provided by the customer.

    Order Name / Order Reference Number (Optional)

    Enter for internal reference if applicable.

     

     

    Description

    Enter the Reseller and the Customer name here

    Contract Term

    Enter the Contract Term for the order

    Term Length Enter the length of the contract
    1. Review all entered information carefully.
    2. Click Save.
      → The Order is saved in Draft status and the Agent is redirected to the Order Detail page.

    3. Adding Products to the Order

    From the Order Detail page, click the Related tab.

    Locate the Order Products related list and click Add Products.

    If prompted to select a Price Book, choose Direct and click Save.

    Use the Product Search interface to find and select products:

    Type part of the product name in the search bar.

    Click a suggested product to add it, or press Enter to perform a full search.

    In the search results, select all relevant products.

    Click Next to continue.

    On the Edit Selected Products screen:

    For each product line, confirm and adjust:

    Quantity

    Unit Price

    Discount (if applicable)

    Description (if applicable)

    Once all items are correct, click Save.
    → The Agent returns to the Order Related tab, where the newly added products appear in the Order Products list.


    4. Finalising the Order

    Review the Order Details and Order Products for accuracy.

    Navigate back to the Details tab.

    Update the Status field from Draft to New.

    Click Save.

    The Order is now ready for the next stage of processing as per the standard Order workflow.


    Error Handling and Troubleshooting

    “New Order” button not visible

    Insufficient permissions

    Contact Salesforce Administrator to confirm correct permission set is assigned.

    Unable to find Splicecom Ltd account

    Account record not shared or permission missing

    Request access or visibility to the Splicecom Ltd Account record.

    “Add Products” button missing

    Page layout or related list permissions issue

    Contact Salesforce Administrator for layout review.

    Price Book selection not appearing

    Price Book not active or not assigned to profile

    Verify “Direct” Price Book is active and available for your profile.

    Cannot change line items

    Order status not in “Draft”

    Set the Order back to “Draft” (if business policy allows) or request admin assistance.


    Post-Process

    Once the order status has been updated to New, the standard Salesforce Order workflow continues automatically. No additional manual actions are required unless instructed by a Line Manager or the Operations Team.
